Camporee Info for Cub Scouts and Webelos
What to Expect
Cub Scouts and Webelos are invited to attend the Centennial Camporee from 9:00 a.m. until 3:30 p.m. on Saturday, April 30, 2011 at Babbitt Cub World at Zink Ranch. Scouts, Venturers, Explorers and Webelos from across Indian Nations Council will celebrate the theme “The Legacy Continues” in recognition of 100 years of Scouting in Eastern Oklahoma.
Cub Adventures is a program area created specifically for Cub Scouts and Webelos. It will be divided into a number of activity zones where Cub Scouts and Webelos can participate in hours of fun-filled activities related to the zone theme. In addition, Cub Scouts and Webelos can also attend the Boy Scouts program zones to see what Scouting has to offer at the next level. But, they will not be able to participate in activities that are not age appropriate, such as shotgun shooting and aquatics. There will be various expo displays in the Boy Scouts program zones to expose Cub Scouts and Webelos to the next level of Scouting.
What You Need to Know
The following is a list of things you need to know, including some policies and procedures. From time-time, we may supplement this list.
1. Dens
Because of the nature of the Centennial Camporee, only Dens may participate and Dens must have two-deep adult leadership. Individual Cub Scouts and Webelos, with an accompanying parent, may not attend if they are not part of a Den. During Saturday’s activities, all Cub Scouts and Webelos must travel together in their Dens at all times.
2. Participation
Participation is limited to Cub Scouts, Webelos and registered adult leaders. Cub Adventures and the Centennial Camporee are not open to other family members, friends or the general public. No exceptions shall be granted!
3. Online Registration
Commencing March 1, 2011, online registration for Cub Adventures shall open and shall remain open until Friday, April 22, 2011. Event fees must be paid at the time of registration. In the case of late registration or issues with online registration, please contact Paige Green at (918) 743-6125 and she will assist you. Additional Cub Scouts or Webelos may be added to the unit registration at the time of check-in on Saturday. We encourage online registration to speed-up check-in. 4. Fee
The fee for Saturday is $5 per Cub Scout, Webelos and accompanying leader. The fee includes a commemorative Centennial Camporee patch that will be issued to everyone who registers and attends the Centennial Camporee.
5. Saturday Check-in & Check-out
All Dens must check-in at the entrance to Zink Ranch on Saturday morning and check-out upon departure. Check-in will commence at 8:30 a.m. Changes to the unit roster, previously submitted during registration, will be updated at that time. When Dens arrive at the entrance gate to the Zink Ranch, Centennial Camporee Staff will direct everyone to temporarily park their vehicle(s) during check-in. For the safety of everyone, especially youth entrusted to us, please keep Cub Scouts Webelos in the vehicles during check-in. After adult leaders have completed check-in, you will be directed from the parking area, into Zink Ranch and up the hill to Babbitt Cub World. At the conclusion of your program day, please stop for a “car window” check-out.
6. Medical Evaluations
A copy of Parts A & B of the Annual BSA Health and Medical Record must be completed, signed by parents for youth, and will be required for each youth participant and adult leader. To expedite check-in, we will be requesting these be submitted, if possible, as scanned (PDF) documents in advance of arrival. Otherwise, these forms must be brought on Saturday. The staff will either scan the evaluation forms or retain them until check-out. We suggest you bring copies to retain the originals. No one will be allowed to participate without a signed Annual BSA Health and Medical Record.
7. Tour Plan
Cub Scout Packs should file a Tour Plan for their dens attending. Parental permission slips are also required.
8. Identification Wristbands
Cub Scouts, Webelos and accompanying adult leaders will receive a wristband at check-in. the colored wristband is your ticket to Cub Adventures and other program areas. Participation in program areas is based upon these wristbands, so please do not remove it before exiting Zink ranch. All activities in Cub Adventure program zones shall be open only to Cub Scouts and Webelos. Cub Scouts and Webelos may also attend Boy Scout activity zones, but admission to certain activities that are not age-appropriate for Cub Scouts and Webelos shall be prohibited. For example, shotgun shooting is not age-appropriate for Cub Scouts and Webelos. Centennial Centennial Camporee staff running activities that are not age-appropriate shall restrict and exclude Cub Scouts and Webelos from participation based upon the color of the wristband. The aquatics area shall also be prohibited from use by Cub Scouts and Webelos. The aquatics area is close to two miles from the Centennial Camporee entrance and we have established many more program activities at a much closer distance for walking. We strongly recommend against spending the time to walk to and from the aquatics area.
9. Vehicles, Parking and Footwear
Please observe posted speed limits while driving on Zink Ranch roads. Because it is the national policy of the BSA that no vehicles are permitted in camping areas, all parking areas will be outside of the Centennial Camporee. For leaders familiar with Babbitt Cub World, vehicle access will be prohibited where the main road branches to the Boy Scout loop and to the Welcome Center/Building. Cub Scouts, Webelos and their adults should be prepared to walk to the parking areas to the location of Turkey Creek village and back. Please wear appropriate apparel and footwear! Parking areas will be designated for all groups attending on Saturday. The Tulsa County Sheriff’s Office will patrol parking areas. Please do not park in any area other than unit parking areas.
10. Disability Accommodations
Parking for individuals with a disability and/or the caregiver will be provided. If your Den has an individual with a disability who requires transportation by vehicle or some other accommodation, please advise the Centennial Camporee Staff of the accommodation need upon check-in or prior to arrival by contacting Paige Green, at 918-743-6125. We will work with you to accommodate the need(s) of the disabled individual.
11. Emergency Procedures
We will provide first responder emergency services in the event of medical, fire or similar emergencies, including transportation by ambulance or Life Flight is required. Emergency services shall be headquartered at the Centennial Camporee Headquarters (Longhorn Palace Dining Hall). In the event of any emergency while at the Centennial Camporee, please contact Centennial Camporee Staff immediately. Throughout the Centennial Camporee, we will monitor the potential for severe weather. Procedures for severe weather will be provided upon check-in should the Saturday forecast include the risk of severe weather. In the event of an outside emergency which requires a youth or leader be contacted by his/her family, we ask that the family member contact the Den directly by mobile phone as it is extremely difficult to determine where a Den may be at any given moment.
12. Program Day
All Dens must exit the front gate at Zink Ranch by 4:00 p.m. on Saturday. It is recommended Dens begin to exit Babbitt Cub World and the Centennial Camporee by 3:30 p.m. on Saturday. This will give each den adequate time to load personal vehicles and exit Zink Ranch in an orderly manner. No exceptions will be allowed!
13. Centennial Camporee Staff
If you need assistance, please ask a Centennial Camporee Staff member for assistance. They will be easy to recognize and are there to assist each unit, regardless of the situation.
14. Troop Campsites
Visiting a Troop campsite can provide a Den with the opportunity to see how a Troop camps. Within Scouting, access to campsites is allowed only upon request or invitation. If your Den desires to visit a Troop’s campsite, please approach the campsite and request permission to enter the campsite. It is likely access will be granted. Please do not enter or pass through unattended Troop campsites. We recommend that if you know of a Troop that is attending, please make prior arrangements with the Troop before arriving so you can meet them. At the time of check-in, Centennial Camporee Staff can assist you in locating Troops within subcamps.
15. Saturday Lunch and Hydration
Some program areas will suspend all activities for lunch. Hot dogs, chips, pop and water for lunch on Saturday can be purchased at the Trading Post situated at the Longhorn Palace Dining Hall. Food service is “first come, first served” and we do not know what demand Saturday will create, so Dens may want to consider packing a lunch. Bringing you own lunch can be built into the day’s program. It is strongly recommended that each person attending carry a water bottle or hydration packs during the day to ensure proper hydration. Potable water is available, but in many program areas there is limited potable water to drink. Please check the Centennial Camporee website for other food service opportunities that may develop. We ask every adult leader to ensure that his or her youth remain hydrated through the Cub Adventures program day.
16. Trash
Every Den is asked to collect, maintain and pack-out their trash and garbage. At this time, no waste receptacles will be provided for any unit attending the Centennial Camporee.
17. Trading Post
There will be at least one trading post situated at the Centennial Camporee Headquarters (Longhorn Palace Dining Hall). Refreshments, snacks and Scouting merchandise and memorabilia will be offered for sale, including a limited number of Centennial Camporee patches.
18. Schedule of Events
A Schedule of Events, setting out the weekend’s full schedule from Friday through Sunday, will be posted on-line. Schedules will be posted throughout the Babbitt Cub World.
19. Bikes
No bikes are permitted.
20. Pets
Only service animals are permitted.
